Hopefully everyone signs on at least one of the urgent projects (put your name in a different color). The key is not to do a lot of projects, but do what we do well. There is a wiki page for this project at http://wwucoop.wikispaces.com/Winter+Break. Please go there and sign up for a project, share questions and comments in the discussion group on that page (note discussion groups are page sensitive), and edit the project descriptions so we all know what we are each trying to do. Then create a page for your project if there isn't one already. Also, the list below under each project is not complete. Each person taking on a project should figure out what should go into it to make it great! And you can work together on a project. Lets make a lot of progress by our first meeting!Let's get our projects done during break! Then we'll be best prepared for next quarter. We'll have a computer meeting soon that will be organized by Jeff E. or Juliana. Expect an email from them detailing this meeting. Ideally we'll have online meetings every week for the next three weeks. If you have any questions, you can collaborate or email.
Everyone should:

  • Clean up the business plan as they see fit.
  • Organize the Wiki
  • Scheme and dream.
Urgent
Continuity: (Alyson and Cate)-
one main concerns about the coop is that operation and management won't be a constant because there will be a high student-employee turnover rate
  • Create ISP: Co-op Manager Training
    • a class (possibly a fairhaven one) that educates potential coop employees/managers on the history, purpose, and operation of the student coop. We could use this class as our job training, requiring all employees and/or student managers to take it before working at the coop.
  • Topics covered in this class could be co-op management, business management, marketing, food and the environment, food and social justice, etc... This class be the Co-op in one and would be a requirement for anyone who wants to work/volunteer at the Co-op.
  • We need someone to write up a proposal for this, figure out the curriculum we should use and find teachers/guest lecturers we could have in class.
  • Identify other possible areas the Co-op could fit into education.
  • Research other school coop solutions to operation continuity - Post at http://wwucoop.wikispaces. com/Intercollegiate
Startup Cost: (jeff k jeffmk@gmail.com) Since we don't really know where the coop is going to be; the plan is to make a generic startup cost. Then, with the rest of the business plan, we can show Western we are ready, but waiting for them to give us a location. (assume rent is symbolic $1) http://wwucoop.wikispaces.com/ Location (we need a page for start-up costs. Our business plan currently has a very estimated one, needs to be redone.
  • Identify all equipment that could be needed. Do this for two possibilities:
    • Permeant Location w/ Certified Kitchen
    • Temporary Location w/ Certified Kitchen
    • Permanent Location w/out Certified Kitchen
    • Temporary Location w/out Certified Kitchen

  • Cost for equipment; look into new, used and donated possibilities (ReStore, craigslist).
  • Look into health/business requirements for used equipment.
  • Look at our old shitty start-up costs. What went into that? We want more details but make sure we don't omit stuff (aka start-up costs should include insurance, employees for one month, food for one month, etc...)(if you don't have these costs at the time, say it will be inputed as soon as it is determined. Something like 1 months operating expenses must be included after the operating expenses person finishes).
  • Look under Finances for all of The Flaming Eggplant's startup costs http://wwucoop.wikispaces.com/ the+flaming+eggplant. But we should be more detailed. Also use creativity...

Operating Expenses: Since we don't really know where the coop is going to be; the plan is to make generic operating expenses. Then, with the rest of the business plan, we can show Western we are ready, but waiting for them to give us a location and permission to open. (assume multiple rent payments. Parts of the operating expenses could be variating, eg. rent from $1 to $1500 a month - with an explanation of those numbers and how we could come to an agreement)
  • Cost for equipment; look into new, used and donated possibilities (ReStore, craigslist).
  • Cost for food; we need to know recipes, ingredients, cost, and sale price http://wwucoop. wikispaces.com/Menu (Brendan has the Flaming Eggplants password for UNFI, an organic supplier. We'll price off of them. Email him for the password if this is your project). Flour price Click Here
  • Look under Finances for some of The Flaming Eggplant's operating costs http://wwucoop. wikispaces.com/the+flaming+ eggplant>>

Risk for WWU: Another main concern with the coop is the potential risk to Western if we dont make enough money or we get sued for unsafe food. We want to focus on how we will be above and beyond. How we will prevent problems. How Co-ops (hopefully) have historically low health and safety incidents. Maybe a brief look (we don't want to focus on the negative) on how corporate food is unsafe (code violations, sick people, pesticides, obesity).
  • Research how other school coops address the financial and lawsuit risk http://wwucoop.wikispaces.com/ Intercollegiate
  • Find out if any school has ever had a risk/problem related to a student-run Co-op. If so, identify why this happened? How could it have been prevented?
  • Get more and better insurance quotes.
    • Get a bunch of different quote scenarios from different providers.
    • Find out how insurance at growing washington while being nice to them, telling them about the Co-op and how we want them to be a principle supplier. We need them to be a great ally.
    • Get quote information for these things
      • All insurance referred to herein shall be issued by companies admitted to do business within the state of washington and have a rating of A-, class VIII or better in the most recently published edition of AM Best's Reports.
      • Commercial General Liability (CGL) Insurance. Sodexo shall maintain commercial general liability (CGL) insurance, and, if necessary, commercial umbrella or excess insurance with an limit of not less than $21,000,000 per each occurrence. If such CGL insurancecontains aggregate limits, the General and Products-Completed Operations aggregate limit shall be $21,000,000 as well. Is this what we were quoted for, CGL? How much would this cost us to get $21,000,000? Can we get a quote even if it took a while?
      • The Co-op shall maintain a business auto policy (BAP) with liability insurance. Get rates for this.
      • Cost of property insurance for $50,000 of goods or so. What about for $25,000 or $100,000.
    • Look at the Santa Cruz Kresge Contract on the Wiki and get insurance quotes for the things they are required to have.
    • Look at what other colleges require as insurance for the dining services.
    • Look at what other colleges require from their suppliers.
    • Look at what other colleges require forom their Co-ops.
    • Build a case for why we should have to have insurance but why we shouldn't require it for suppliers.
Outreach (Dillon, thomsod@cc.wwu.edu): Completely ready to kick off
  • Outreach Plan and Action
  • How do we involve others?
    • People who want to do work
    • People who support but don't want to do much work.
  • Cool posters and easily accessible info.
  • Education
  • Webpage Work
Health Requirements: (jeff E, jemtman@gmail.com) read thoroughly, understand and apply health codes to the coop. Take note of important sections. Write how the Co-op will deal.

In spare time, cool to do.
Write a Syllabus for Quarter and Planning the Speakers:
WWU Grants for Research: Not the main priority, but it would be cool if a someone wrote a good application and we got this. http://www.wwu.edu/depts/ rsp/ugrad.html

Things to be aware of:
Plan for the Quarter: We will discuss this in an online meeting.

Food Conference: February 27th and 28th. The goal is to bring changes to the campus food system. Next meeting will occur after break. This will be a big event.
Meeting with the Admin: We have a meeting scheduled for 1:30 to 2:30 on the 16th of January. (essentially the facilitated meeting).
Fairhaven Students: Every fairhaven student should plan on applying for the Student Development Grant for $100 by Jan. 15th. It should be used to get us money for the quarter with the Co-op. http://www.wwu.edu/ fairhaven/resources/students/ grants.shtml
